1. Conclusion of the contract and services provided

      All reservations must be confirmed in writing.
      The scope of services provided by BOT is limited only to the description of these services, which is presented in the written booking confirmation by BOT. Additions or modifications to these services require a written confirmation from BOT to be applicable.
      BOT reserves the right to apply any unforeseen price increase to the Customer such as the increase of VAT or tariff increases applied by suppliers and to increase the price contractual accordingly

      2. Payment

      To guarantee a reservation, a refundable deposit of 25% is required within 10 days after receipt of the confirmation by bank transfer. The balance must be paid 35 days prior to arrival date. The amount to be paid will be in GB pounds sterling unless otherwise stated.
      These conditions may be modified by BOT according to the conditions of certain suppliers.
      BOT reserves the right to cancel any service in case of late payment and to demand a payment of cancellation fees.
      Travel documents will only be sent after receipt of full payment. The Customer will be held liable for consequences or damages resulting from the late receipt of these documents, due to delays in payment.
      BOT is responsible for the fees charged by its bank, following the receipt of payments from the Customer. The Client is responsible for the fees charged by his bank and by the corresponding banks or intermediaries when payments are sent to BOT.

      3. List of participants

        A provisional room allocation will be required 6 weeks before the group’s arrival date, in order to transmit it to hotels before the cancellation deadline. The final list of names must be provided at least 35 days before the arrival date of the group. Changes or cancellations made less than 35 days before the group arrival date will not be accepted and cancellation fees may apply.

        4. Customer cancellations*

          4.1 Total cancellation of the trip

          BOT will charge the following fees for cancelling confirmed travel services:

          • More than 35 days before the group arrival date = no cancellation fee
          • Between 35 and 20 days before the group arrival date = 75% cancellation fee
          • Less than 20 days before the group arrival date = 100% cancellation fee

          4.2 Partial cancellation

          A reduction of the number of rooms of maximum 10% may be made free of charge between 35 and 20 days before the date of arrival of the group, if this is addressed in writing to BOT. Any partial cancellation after this date will incur 100% of fees. All services that have already been confirmed and/or paid for (e.g., theatre tickets etc.) will be charged at 100% in any case.

          *BOT reserves the right to modify the above clauses according to the conditions of certain suppliers.

          5. Cancellations by BOT

            BOT reserves the right to cancel all reservations, if these conditions are not respected by the Client. BOT also reserves the right to cancel a particular contract if the Customer has failed in its obligations regarding another travel contract with BOT.

            6. Complaints and Compensation

              In case of complaints or problems regarding the services provided by BOT, it is mandatory to inform BOT immediately, when the group is on site, The Commission has been working on this subject since the beginning of the year. If the Customer fails to follow this procedure, the right to compensation may be affected, as we will not have had the opportunity to correct the problem. If this complaint is not resolved during the trip, an official and detailed report must be sent to BOT within 5 days after the end of the stay.

              Any contract signed with BOT will be subject to the laws and jurisdiction of England.

              7. Online Shopping

                • 25% non-refundable deposit upon confirmation and balance 2 months from arrival date for all products posted online on the Member Area
                • Videos and other marketing tools are only for the promotion of Best of Tours products
                • If the arrival date is less than 2 months from the time of booking, full payment must be made at that time
